Ask who will submit the claim
VA explains that providers usually file CHAMPVA claims. Before filing a second claim yourself, ask the billing office whether it has already submitted one and request the date or reference number.
Also ask whether the provider accepts CHAMPVA assignment. That question concerns the allowable payment arrangement; it is different from asking whether the office can hand you a superbill.
Request billing evidence from the practice
For reimbursement, VA calls for an itemized bill or superbill and proof that you paid. A payment receipt by itself may not contain the service and provider information needed for the claim.
Ask the billing office to supply or correct its own procedure, diagnosis and provider fields. Do not guess codes or rewrite a clinical service description to make it fit a claim.

Match the other insurer’s response to the same visit
When other insurance is involved, include its explanation of benefits as instructed. An insurance benefits summary describes the plan; it does not replace the EOB for the actual claim.
Compare the service dates and provider name across the bill, receipt and EOB. Flag mismatches for the billing office before submission and keep a copy of the corrected set.

Use the current claim route and track missing items
VA offers online filing or the paper Form 10-7959A route. Claimants must enroll in direct deposit through VA’s linked instructions; do not assume bank details belong in the claim packet. Check the current filing deadline rather than leaving an unfinished packet indefinitely.
If VA asks for missing documents on an online claim, use its instructions for resubmitting the existing claim. Keep the original reference number, the requested item and the response date in your log. Complete paperwork does not guarantee reimbursement.

Your next-step checklist
- Confirm whether the provider has already filed.
- Ask whether the provider accepts assignment.
- Collect the itemized bill and proof of payment.
- Match any other-insurance EOB to the same service dates.
- Check the current deadline, payment details and submission confirmation.
Keep personal, insurance and medical information in the appropriate organization’s approved secure channel.
Common questions
Can I use a receipt instead of an itemized bill?
VA’s reimbursement instructions require billing details as well as evidence of payment. Ask the practice for the required itemized document; a receipt alone may not provide it.

Will CHAMPVA repay every dollar I paid?
Do not assume that. VA explains that when a provider does not accept assignment, costs above the allowable amount may remain your responsibility. Ask about the payment arrangement before the visit when possible.
