Match the portal to the trip and claimant
VA’s current instructions allow eligible Veterans to use VA.gov for round trips starting from the address VA has on file. They direct one-way trips, trips starting elsewhere and eligible caregiver claims to BTSSS.
Write down the appointment date, actual starting address and whether the travel was one way or round trip. Confirm the route with the beneficiary travel office if anything is unclear. Do not change trip details to make them fit the simpler filing option.
Check the separate travel-pay direct deposit
VA says travel-pay direct deposit is separate even when ordinary VA benefits already arrive by direct deposit. Its instructions describe VA Form 10091 and the beneficiary travel office process for setting it up.
Use VA’s designated channels for bank information. If you need an update, follow the BTSSS profile instructions and retain the notice that the update was completed. Do not send account or identity documents to a clinical practice’s general contact form.

Attach evidence for the expenses actually requested
A mileage-only claim does not require receipts under VA’s instructions. Other expense types need receipts or payment evidence, and meals and lodging require advance approval. BTSSS also accepts attendance evidence for non-VA appointments when applicable.
Match each receipt to the trip and ask the beneficiary travel office what is needed for an uncertain item. Approval of a clinical appointment and eligibility for every travel expense are separate questions. A privately arranged visit is not automatically qualifying VA care.
Submit the claim and retain its status
The current instructions say to submit within 30 days of the appointment. Saving an unfinished claim while collecting documents does not complete submission or remove that deadline.
Review the trip and expenses, complete the required agreement and save the submission confirmation. Check the claim status through the official system and respond to requests from the travel office. Complete paperwork does not guarantee reimbursement or a particular payment date.
Your next-step checklist
- Confirm travel-pay eligibility and the correct portal.
- Record the actual trip direction, starting address and appointment date.
- Check separate travel-pay direct deposit through VA.
- Collect applicable receipts, attendance evidence and prior approvals.
- Submit within the current deadline and save confirmation.
Keep personal, insurance and medical information in the appropriate organization’s approved secure channel.
Common questions
Can a caregiver use the same VA.gov claim route as a Veteran?
VA’s current instructions direct eligible caregiver claims to BTSSS. Use the route for the actual claimant and trip.
Does saving the claim count as submitting it?
No. VA allows a saved claim to be completed later, but the instructions still require submission within the appointment-related deadline. Complete the final submission step and retain confirmation.
